Stronger Together Special Update on the Vaccine Mandate

Vaccine Mandate Deadline Is Monday, September 27

As you are aware, the New York State Department of Health (DOH) has issued an order that all hospitals and nursing homes “continuously require all personnel to be fully vaccinated against COVID-19, with the first dose for current personnel received by September 27, 2021.” The order broadly defines “personnel” as “all persons employed or affiliated with a covered entity, whether paid or unpaid, including, but not limited to, employees, members of the medical and nursing staff, contract staff, students, and volunteers, who engage in activities such that if they were infected with COVID-19, they could potentially expose patients, residents, or personnel working for such entity to the disease.”

This means all affected employees must comply with the order by providing evidence of their first dose of the vaccine on or before 5 pm on Monday, September 27. This mandate applies to all Stony Brook University Hospital (SBUH) and Long Island State Veterans Home (LISVH) employees, as well as any other employee or student of the University who physically works or takes classes at the Hospital or in the Health Sciences Center (HSC).

SBUH, LISVH and affected Stony Brook University employees who do not provide this evidence by this date will be required to meet with a Labor Relations Specialist to discuss their non-compliance. These meetings are contractually referred to as “interrogations.” Non-compliant employees will receive the contractually required notification of the date and time of the interrogation. Similarly, Research Foundation employees covered by the order who are not in compliance will also be interviewed by a Labor Relations Specialist. Interrogations/interviews will be scheduled beginning Tuesday, September 28.

Please note: While employees in other parts of the organization, including but not limited to SBAS, SBCM and StaffCo, fall under the vaccine mandate, processes for discussing and addressing non-compliance will vary.

How and Where to Provide Proof

SBUH employees will submit proof of their vaccination status to Employee Health & Wellness, located on the 8th floor of the main hospital, or can fax it to (631) 444-6199.

Employees from HSC and the West Campus covered by the mandate should:

Fax a copy of their vaccine card to Human Resources at (631) 632-6621
OR
Bring a copy of their vaccine card to Human Resources located at HSC level 4, Room 146 on these dates:

●     Wednesday, September 22, 1 pm to 5 pm

●     Thursday, September 23, 1 pm to 5 pm

or to HRS, Administration Building, Room 390, M-F, 9 am to 4 pm

Monday through Saturday, 8 am to 6 pm; Sunday, 8 am to noon
