President Stanley Congratulates Team for Successful PeopleSoft Split Project

Uis team

UIS TeamPresident Stanley hosted a congratulatory breakfast in the Charles B. Wang Center on December 4 for members of University Information Systems (UIS) team and other functional business units that helped pull off the successful, yet complex PeopleSoft Split project.

After nearly two years in the works from planning to execution and delivery, Stony Brook University completed its Project 50 Forward PeopleSoft Split project at the of October. The project involved separating the HR database from the student information database, creating two separate databases while maintaining the vital integrations between them. This was necessary so that the HR modules could be upgraded at some point, which will restore Oracle support and provide new tools, functionality and improvements. During the project, four million rows of data were cleaned up, nearly 250 queries were identified, modified and tested, as were 60 different interfaces. PeopleSoft is a vital, central system for Stony Brook.

Its key business functions affect:

  • Human Resources
  • Payroll
  • Student Records and Enrollment
  • Admissions
  • Student Financials
  • Budgets
  • Advising
  • Accounting
  • Financial Aid

The project sponsors were:

  • Lou DeOnis (Stony Brook Medicine, HR)
  • Lynn Johnson
  • Denise Muscarella (LISVH)
  • Mike Ospitale
  • Charlie Robbins

The project was led by DoIT’s University Information Systems team. Project leaders included:

  • Erika Altolaguirre
  • Shady Azzam-Gómez
  • Andrew Kirsch
  • Mitch Menarchem
  • Adnan Rangwala
  • Kim Rant

There were more than 150 team members involved in testing and implementation from many different areas, including:

  • Accounting
  • Budget Office
  • Bursar / Student Accounts
  • Financial Aid
  • Graduate School
  • Human Resources, West Campus
  • Human Resources, Stony Brook Medicine
  • HSC Office of Student Services
  • International Academic Programs
  • Office of Vice President for Research
  • Orientation
  • Procurement
  • Registrar’s Office
  • School of Professional Development
  • Stony Brook Medicine Employee Health
  • Transfer Office
  • Undergraduate Admissions
  • Visa and Immigration Services
  • DoIT: DoIT PMO, University Information Systems, Systems Support, Decision Support Systems, Communications, Client Support

Because of the scope of the project a series of workstreams were established to better organize and synchronize the broad work effort. Workstream Team leaders were:

Application Development Workstream: Chandan Chandra, Wesley Shen
Data Clean Up: Mary Lee
Testing and Documentation: Kevin Wilson
Portal and Security Workstream: Fang Peng
Post-Implementation: Shih-Liang Yen
Communications: Kerrin Perniciaro
Infrastructure: Sanjay Kapur
Business Process: Kim Rant
Project Management: Erika Altolaguirre

Weekend participation and validation was key to ensuring the system was ready to go live. After the Split went live, there were only a few issues reported and all were addressed within minutes. This was a testament to the level of detailed planning, testing and effort that everyone performed. Project Management discipline and tools helped to organize and coordinate this highly complex project. Extensive review and documentation of existing systems, business processes and test plans will serve as the basis for implementing new features and improvements in the future.
